What this privacy notice covers

Wicken Archery Club is committed to protecting your personal information. In this notice, references to ‘we’ or ‘us’ means Wicken Archery Club. This notice explains how we collect and use the personal information about you.

We may change this Privacy Policy from time to time. If we make any significant changes in the way we treat your personal information we will contact you directly.

Who we are

Wicken Archery Club is an unincorporated association, run by its members. It is a not-for-profit organisation with the principal objective to promote and encourage participation in the sport of archery in the area of Wicken and the locality.

Wicken Archery Club is a data controller under the data protection rules and our Data Protection Officer is the Secretary of the club who is contactable at: secretary@wickenarcheryclub.org.uk. The Data Protection Officer is the first point of contact regarding any enquires arising from this document.

Information we gather and how we use it

Wicken Archery Club collects certain personal data about members, parents, legal guardians and visiting archers via membership application forms, scores submitted for club records and competitions, beginners courses and general enquiries.

As appropriate (e.g. for membership purposes) this information is shared with organisations we are affiliated to, namely Archery GB and the Northamptonshire County Archery Society.

The information we hold may include your name, date of birth, gender, bow style(s), postal address, email address, phone number, disability, ethnicity, your archery qualifications, award history, competitions scores, relevant medical information, emergency contact details, or CRB / DBS / PVG checks that have been undertaken.

Members of the club may take photographs or video during club meetings/events, and these images may be used on our website, social media platforms and promotional / internal documents. Please contact the data protection officer should you wish to avoid your image being used in this way.  

If an individual attending a beginners course does not decide to join the club, their details will be deleted six months after the course, membership details will be retained for only for as long as required to operate the club in accordance with legal requirements of our governing body, Archery GB, and tax and accounting rules after leaving the club.

We rely on the legitimate interest basis to use your personal information in some circumstances. For example, when you apply to become a member of Wicken Archery Club, we have a legitimate organisational interest to use your information to communicate with you and give you the benefits of being a member.

We may also need to use your information to comply with legal, regulatory and governance obligations associated with the sport of archery and the administration of an archery club.

Under 18s should ensure they have the consent of a parent of guardian before disclosing personal information. Wicken Archery Club will collect the minimum data required for effective interaction and will be transparent about the reasons for data collection.

The personal data that we collect from you will be transferred to and stored within a local and secure data storage system that is compliant with the GDPR and administered by the Wicken Archery Club Data Protection Officer.

By submitting your personal data, you agree to this transfer, storing or processing.

Wicken Archery Club will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this Privacy Document, and will comply with best practice in the handling of data subject access requests.
